Who we are LedgerXpert (“we”, “our”, “us”) is a SaaS platform that helps businesses and professionals convert bank statements and financial documents into structured data, and manage their cashbook and accounting workflows. ​ 2. What data we collect We collect the following types of information: Account information: Name, email address, phone number, business name, country. Login & usage data: IP address, browser type, device information, pages visited, and basic analytics. ​ Financial documents you upload: Bank statements, PDFs, text files and related data required for parsing and reconciliation. Communication data: Messages you send us via email, WhatsApp, support forms or in‑app chat. ​ We do not read or use your financial data for any purpose other than providing you the service. 3. How we use your information We use your data to: Provide and improve the LedgerXpert service (statement parsing, deduplication, reconciliation, exports). ​ Create and manage your account and login. Send transactional messages: import status, alerts, password resets, security notifications. ​ Provide customer support and respond to your requests. Send optional product updates, tips or offers (only if you have opted in). We do not sell your data to any third party. ​ 4. WhatsApp and communications If you share your WhatsApp number with us or start a chat with our official WhatsApp Business account: You consent to receive messages related to your account, onboarding, support and important product updates on WhatsApp. ​ You can opt‑out at any time by replying STOP, UNSUBSCRIBE or contacting us at the email below. WhatsApp messaging is provided via Meta’s WhatsApp Business platform and/or authorized Business Solution Providers, who process messages purely to deliver them. ​ 5. Legal basis & consent Depending on your location, we rely on one or more of the following legal bases to process your data: Performance of a contract (to provide the LedgerXpert service). Your consent (for WhatsApp messages and marketing emails). Legitimate interest (fraud prevention, product security, basic analytics). ​ You can withdraw consent for non‑essential communication at any time. 6. Data storage, security and retention Data is stored on secure cloud infrastructure with access restricted to authorized team members only. ​ We use encryption in transit (HTTPS) and follow industry‑standard security practices where reasonable for a small SaaS product. Bank statements and parsed data are retained while your account is active and for a reasonable period afterwards for backup, billing and audit, unless you request deletion earlier. ​ You may request deletion of your account and associated data by contacting us (see section 9). 7. Sharing with third parties We only share data with: Cloud infrastructure and hosting providers (e.g. databases, storage, email services). WhatsApp Business API providers and communication platforms used to send you notifications. ​ Payment processors (if/when you subscribe to paid plans). These providers process data on our behalf and are bound by contracts to protect it. We may also share data if required by law, to respond to legal requests, or to protect our rights or other users. ​ 8. Request deletion of your account and related personal data. Object to or restrict certain types of processing.
